Haus iT Caller ID for Webex

Who is calling appears in your Webex sidebar – company, contact and customer number from your own CRM or ERP. One click opens the record in the source system.

What the app does

  • When the phone rings it looks up the number in your CRM or ERP and shows company, contact and customer number.
  • Beyond that the commercial picture, where the system provides it: open items, overdue amounts, credit limit, last order.
  • After the call, write a note straight into the record – contact, lead, opportunity or ticket.
  • Every answer names its source. You see which system the name came from.
  • No call content: no recording, no listening in. The number serves only to look up a contact in your own systems. Operated in German data centres.

How quickly is the name there?
About 250 milliseconds, measured on 3 September 2026 across 25 numbers that had never been looked up before. That puts the tile below the 400-millisecond threshold at which a person starts waiting for a system instead of staying with the task in hand. Translated to a ringing phone: the name is there before the hand reaches the receiver.

What you need

  • A Webex account – free or paid.
  • An account for the Haus iT portal, provided by Haus iT Service & Vertrieb.
  • For the one-time authorisation of the app: a Webex Full Administrator who also holds the Compliance Officer role. Without that role Webex does not permit access to call data.
  • A CRM or ERP system reachable through an interface. 14 systems are connected today; others on request.

Setup – step by step

  1. Request an account: write to vertrieb@haus-it.de or arrange an appointment. You will receive access to the hausit-portal.de portal.
  2. Sign in to the portal – with a password or directly with your Webex account.
  3. Connect the phone system: under “Organisation”, establish the Webex connection. Your Full Administrator with the Compliance Officer role grants it; it covers the call data of your organisation.
  4. Connect CRM or ERP: under “Systems”, select your system and store the credentials. The portal checks the sign-in right away and tells you whether it works.
  5. Store personal credentials (optional): every employee can enter their own CRM account under “My access”. Then each person sees exactly the contacts released to them in the CRM when the phone rings.
  6. Open the app: in the Webex client, start “Haus iT Caller ID” from the sidebar and pair it once with the portal.
  7. Done. On the next call the name appears in the sidebar.

Frequently asked questions

Does the Haus iT Caller ID listen in on calls or record them?

No. There is neither listening in nor recording. What is processed is the number, the time and the duration of a call – the same details your phone system already holds. The number serves solely to look up in your own systems who is calling.

Which CRM and ERP systems are connected?

14 systems today: Bitrix24, HubSpot, Kommo, Microsoft 365 (Outlook), Microsoft Dynamics 365 Sales, monday.com, Odoo, Pipedrive, Propstack, Salesforce Sales Cloud, SAP Cloud for Customer, televero, weclapp, Zoho CRM. We connect others on request, provided the system has an interface.

Does software have to be installed on the workstations?

No. The tile runs in the Webex sidebar, the portal in a browser. There is no rollout to workstations, no background maintenance and no change to your phone system.

What does the Haus iT Caller ID cost?

The portal costs 290,00 € per company and month and includes 25 workstations; further ones cost 50,00 € per started block of 25. The Webex tile costs 7,90 € per user and month – only for those who use it. All amounts excluding VAT, cancellable monthly, with no setup fee.

How long is call data stored?

30 days, after which they are deleted automatically. If you want to analyse a longer period, you set the retention period yourself in the portal – and see there what was actually deleted.

What is needed to get started?

A Webex account, an account for the Haus iT portal, a CRM or ERP system with an interface and – once, for the authorisation – a Webex full administrator who also holds the Compliance Officer role. Setup takes a morning.

Where is the data processed?

Operation and data storage take place in Germany. Processing is carried out on your behalf under Article 28 GDPR; a data processing agreement is concluded with every customer.

Privacy

No call content is processed. The number is used solely to look up a contact in your own systems. Call data is kept for 30 days; what is retained longer is your decision in the portal. To the privacy policy
