DATEV: identify callers in Webex
Other · Accounting and tax · Germany
If someone calls whose phone number is in DATEV, the Webex sidebar shows the name – even before you pick up. The search covers the contacts that the Haus iT DATEV-Connector has imported from DATEV.
What the DATEV connector delivers
- Finds by phone number – yes When the phone rings, the caller's number is looked up in this system. That is the basic service; without it there would be no connector.
- Finds by name – yes You can also type a name into the Webex tile's search bar. Without this capability the connector only answers the question “who is calling”.
- States the company – no The system does not release a company through this interface. The line stays empty – it is not guessed.
- States the customer number – no The system does not supply a customer number through this interface. The line stays empty – it is not guessed.
- Links into the record – no A link into the record is not possible through this interface. The click in the tile therefore does not lead into the system.
- Writes the call note back – no This system accepts no note through its interface. The connector only reads; the field for the call note never appears in the tile in the first place.
How the integration works
DATEV does not answer a query about an individual phone number. That is why the Haus iT DATEV-Connector runs on every DATEV workstation. It imports the name and phone numbers of addressees and institutions from the central master data into the portal.
When the phone rings, the portal looks up the number in these contacts. After the call, the tile passes client, start time and duration on to DATEV – at the push of a button or automatically. And one click on the green handset in DATEV makes Webex dial.
Which data is imported
Name, phone number and the note on the phone number – nothing else. Contacts are only imported once your company has confirmed in the portal the data processing agreement with confidentiality obligation under § 62a StBerG. The contacts are available to your company only.
What you need in DATEV
- DATEV Telefonie Basis
- A Windows workstation with DATEV The connector installs without administrator rights and is paired with one click in the portal.
- The Webex tile For everyone who uses the integration.
Management or the Head of IT decides in the portal who uses the integration.
Limits of this connector
- Through this interface, DATEV provides no customer number and no link to the record. These rows stay empty – they are not guessed.
- The contacts are as current as the last import: the connector imports once a day and at the push of a button in the portal. Someone created in DATEV early this morning is only recognised in the afternoon after an import.
- The connector needs a Windows workstation with DATEV. The integration has not yet been tested on a terminal server.
Questions about DATEV and Webex
How do I see who is calling?
In the sidebar of the Webex client: when the phone rings, it shows the name from DATEV – before you pick up.
Is my customer data copied?
Yes – for DATEV as the only integration. DATEV does not answer a query about a phone number; that is why the connector imports the name, phone number and note of addressees and institutions. This only happens once your company has confirmed the data processing agreement, only for your company and without any call content.
Do the calls reach DATEV?
Yes. After the call, the tile passes client, start time and duration on to DATEV Telefonie – at the push of a button or automatically.
Can I dial from within DATEV?
Yes. One click on the green handset in DATEV makes Webex dial.
What does it cost?
The integration costs nothing extra. The portal is free; the Webex tile is billed per user per month.
Is this a DATEV solution?
No. Haus iT uses the telephony interface that DATEV provides for partners. The integration is not listed on the DATEV Marketplace.
